1. Add your business details

2. Add your client’s details

Enter the client or company name, a contact person, and their address and email. Accurate client details ensure the invoice reaches the right person and speeds up payment.

3. Set the invoice number and dates

Give each invoice a unique, sequential number such as INV-0001. Add the issue date and a clear due date. Sequential numbering keeps your records organized and is expected by most tax authorities.

4. List your line items

For each product or service, include a description, quantity, unit, rate and the calculated amount. Being specific reduces disputes and shows the client exactly what they’re paying for.

5. Apply tax, discounts and totals

Add any applicable tax, apply a discount if agreed, and include shipping or fees where relevant. The subtotal, tax, discount and final total should be clearly separated so the balance due is easy to understand.

6. Choose payment terms

State when and how you want to be paid. Common terms are Due on Receipt, Net 7, Net 15, Net 30, Net 45 and Net 60. Include your bank details or a payment link, and note any late-payment fee.

7. Review and download the PDF

Double-check the totals and details, then download a clean PDF. Name the file clearly, for example invoice-INV-0001-client-name.pdf, and send it to your client with a short, polite email stating the amount due and the due date.
